MINUTES OF SPECIAL MEETING, RIALTO BOARD OF DIRECTORS

MEETING NOTES
Ron Mjelde established as Point of contact between design team and Rialto Board.
Formal approval granted to A&E to wrap up CD’s with all relevant consultant support.
Proposed deadline for CD’s: 1 June 2008. Goal to begin construction in mid June. Nathan to get
reasonable time requirements back from code review, preservation office review, and consultants
to confirm feasibility.

Issues List Reviewed:


Sub-grade work:

1. Crawlspace- keep in under front lobby as drawn in DD package.

2. Tunnel- to be redrawn as pre-cast unit- minimum 5’ head clearance required.

3. Elevator- keep in drawings. Cab likely later addition.

4. Orchestra pit- foot print was confirmed. Depth to be increased to accommodate future installation
of hydraulic lift. Wood floor to be added at DD floor level.


Main level work:

1. Back stage addition- leave as single-story, add airlock vestibule as per DD drawing set.

2. Floor finishes- no changes to required to DD package.

3. Concessions area- this area was thought to be OK until after the meeting in private discussion with
Steve Owens, where it became clear that some re-design was required to accommodate specific
concessions equipment.

4. Front entry restoration- surgical removal of historic materials and details will be required to repair
structural elements and introduce new steel.

Mezzanine level work:

1. Air handler platform will be added to the back stage area as per DD package.

2. Office floor will be raised to ensure ADA accessibility- window sill height may be lower than
indicated in DD package as a result.

3. “Spider” window heights in stairwell may be at odd levels above stairs. It was noted that those
windows were originally translucent, not clear, and that this should be noted in the CD package.

4. Storage under balcony seats will be removed with new stadium truss strategy.

Upper levels work:

1. Mech equipment in attic needs to be confirmed for weight, configuration and fit. The sequencing of
this installation was discussed- It will be necessary to install this equipment prior to the installation
of the stadium trusses in the balcony.

2. The Rialto Board approved A&E’s proposal to draw in roof / attic insulation at the bottom chord of
the roof trusses, assuming blown-in cellulose or fiberglass insulation. The recommendation to
abandon spray-foam insulation from the CD drawing package was accepted.

3. Suspended ceiling will be installed as planned, with the integration of historic paint pattern panels
as per the DD reflected ceiling plans.

4. An electric winch is to be included for the maintenance of the central chandelier in the auditorium.

5. Provisions for incorporating theatrical lighting trusses into the ceiling space as per the DD drawings
will still be included in the CD package. A separate drawing package with all theatrical support
equipment will need to be compiled for competitive bidding. A&E will assist with the parts of that
package that require coordination. Actual equipment will be owner provided. Installation may be
done outside of Martell’s contract.

General issues:

1. CD’s will continue to indicate a complete finish level for the entire scope of work. Budgetary
shortfalls that require a simplification or elimination of architectural details will be up to the Board
and Martell to work out, with minimal additional support from A&E.

2. Sound soak panels will be installed as per DD drawings.

3. Coordinated fabrics for wall panels, upholstery, curtains, were submitted for review and approved.

4. Lighting fixtures called out in DD cut sheet book were approved. Restored, historic fixtures may be
submitted as substitutes after obtaining UL listing and approval from historic compliance review
board on individual basis.

5. Plumbing fixtures called out in DD cut sheet book were approved. Value-engineering change
proposals will have to be re-submitted for historic compliance review.

6. Door hardware from DD cut sheet book was identified as too expensive and difficult to obtain.
Martell will supply A&E with substitution for review. This will have to be added to the historic
compliance re-review package.

7. Bath partition hardware and panels were approved.

8. Carpeting, tile, floor paint samples were approved, as were wall paint samples.

9. A&E will initiate contact with historic preservation firms capable of making all necessary molds and
mock-ups of new plaster ornament details. This work needs to be completed prior to the
demolition or encapsulation of any original materials.

10. “New Construction Elements” and “Construction Sequencing” documents were reviewed and
approved. (see attached)

11. House, stage, lobby and work light controls need to be drawn out and approved by Board prior to
CD completion.
